Outcome summary
The posada has run on our booking system since 2009. Its back office has now been rebuilt with all its history, a stricter availability check and a calendar that works on a phone, and the posada is trying it.
Starting situation
Posada Guaripete is a small guesthouse in Venezuela. It needed one system to manage its rooms and bookings, and to take booking requests from guests through its website.
The system
The system we built in 2009 covers the back office and the website side:
- Rooms, a monthly availability calendar, bookings and reservations with their confirmations.
- Rates in several currencies and the operators who enter the bookings.
- Booking requests from the website, with confirmation emails to guests.
Implementation
The system has been in daily use since 2009, and the same staff still run the posada with it.
In 2026 we rebuilt the back office on current technology, because the original ran on a server that was no longer supported and was hard to use on a phone. All the booking history was imported and checked against the old database: the totals match. The monthly calendar keeps the layout the staff have known since 2009, redrawn so that a whole month fits a phone screen with no sideways scrolling. The old screens were cut by more than half, and the same logins still work.
The availability check is now stricter: it refuses any shared night, closing a gap in the old check. Automated tests protect the booking rules, backups run nightly with tested restores, and the staff have a short illustrated manual in Italian.
Results and evidence
The booking back office has been rebuilt on current technology with its full history, and works on a phone. The posada is trying it alongside the original system.
After launch
The original system is still the one in daily use, and data are copied to the new one on request. The confirmation email, editing of rooms and rates, and the final switch-over are still to come.
